If you are an Amazon Integration or CSV user, updating current open purchase orders is necessary for accurate purchasing recommendations.
QuickBooks Integrated Users:
Your open purchase orders are automatically updated from QuickBooks with each sync. It is important to keep your purchase orders up to date in QuickBooks in order to receive accurate purchasing recommendations in ForecastRx. The "Open Qty" column will reflect inventory on orders that have not arrived yet. The Open Qty will be factored into your recommendations if the Receive Date/Due Date is a future date. If the Receive Date/Due Date is in the past, the Open Qty will not be counted in the recommendations. Update your Due Date in QuickBooks to a future date if the inventory should still be counted as still on a purchase order. If the information is not accurate, please update your POs in QuickBooks or contact ForecastRx Support if the information in QuickBooks does not match ForecastRx.
Amazon Integration and CSV Users:
If you are using ForecastRx to receive purchasing recommendations, it is important to upload your current purchase orders and make sure they are up to date before reviewing your purchasing recommendations.
This may sound like a time-consuming task, but it is only necessary to update your purchase orders when you would like to review purchasing recommendations. For example, if you use ForecastRx purchasing recommendations to create orders monthly, purchase orders only need to be updated once, before creating a new PO.
Purchase orders will not affect your demand forecast or your Amazon restock from warehouse recommendations.
How to Upload Purchase Orders:
First, navigate to Manage Company > Purchase Orders. Purchase orders are entered per SKU (Item Name) and for each purchase order (PO). For example, if Item A is on two purchase orders (Order 1 and Order 2), you will need a row for Order 1 - Item A and another row for Order 2 - Item A.
You will need to enter the Item Name and PO number/identifier, the date the PO was issued (PO Date) and the PO expected arrival date (Receive Date), as well as the Order Qty (total units on order) and Open Qty (outstanding units/not yet received).
Open Qty is important because this is the number of units that will factor into the purchasing recommendations. Open Qty and Order Qty should be equal when uploading a new PO. Over time as units begin to be received, you will reduce the Open Qty until it is fully received, and then you will delete the data from ForecastRx or have an Open Qty of 0. Please make sure your Receive Date is set as a future date for the Open Qty to be counted in your recommendations as inventory on order.
You can enter individual rows in Purchase Orders for each item by selecting "Add New" and entering the required information, or you can upload a .csv file with the required information.
We recommend uploading a .csv file of each open PO. If any columns of data required in ForecastRx are missing from your PO, add them to your .csv before uploading.
